Westside Youth Soccer seeking Administrator / General Manager

PERMANENT PART-TIME ADMINISTRATOR / GENERAL MANAGER

The Westside Youth Soccer Association (WYSA) is seeking a permanent part-time Administrator / General  Manager who is able to work independently and provide their own office space. This position is responsible for a variety of duties including regular communication and administrative tasks with the President and Vice-President of the Board of Directors; communicating through email and by phone with registrants, coaches, other Board members, as well as COYSA and the District of West Kelowna.

The soccer season runs from April through October, but administrative duties are required throughout the year. Your schedule would require flexibility as the work hours vary depending on the time of year and may involve evening commitments. Attendance at monthly Board meetings as well as various other meetings may be required throughout the year.

The ideal candidate needs to:
=Be well-organized;
=Display a friendly demeanor and positive attitude;
=Be highly motivated and a self-starter; 
=Have strong communication skills, both oral and written;
=Be proficient with computer programs Excel, Word and Outlook;
=Have knowledge of basic accounting;
=Have some familiarity with Sage Simply Accounting program;

In addition, familiarity with the WYSA organization and the RAMP program (used by many sports organizations) would be an asset. You will also require a criminal record search.

 

Responsibilities specific to the General Manager portion of the job include the following:

  1. administering the day-to-day operations of the club’s office, contracts and agreements;
  2. overseeing the expenditures and income of the club and providing input into the annual budget;
  3. overseeing and participating in club programs and special events such as equipment handout and coach appreciation events;
  4. overseeing and aiding when needed, volunteer directors in the management of club inventories, equipment and supplies and programs;
  5. overseeing and aiding the sponsorship director in securing and servicing team sponsors;
  6. developing and implementing marketing and communication initiatives;
  7. administering policies as approved by the Board of Directors;
  8. participating with volunteer recruitment and assignment;
  9. overseeing and assisting the registrar and/or team formation committees where necessary;
  10. advising the Board of Directors in areas of governance and policy development;
  11. acting as a representative of the Club to external partners, governing agencies, etc.;
  12. working with COYSA to ensure compliance with all rules, regulations and training requirements are met within the organization;
  13. assisting and advising with the technical direction of the club;

The GM attends all meetings of the Board of Directors and provides a regular report to the President and Board of Directors.

The GM reports to the Board of Directors through the President.  The GM has the authority to act and make decisions for the successful implementation of the operations plan, in accordance with established Club practices and policies. The GM acts as a spokesperson and signing authority for the Club.

The General Manager shall:

Work with:

  • Board of Directors
  • Board Committees (if existing)
  • Technical Director (if existing)
  • Club Registrar (if existing)

Liaise with:

  • City of West Kelowna and District bodies
  • Other levels of government
  • Local, provincial and national soccer bodies where appropriate
  • Sponsors and corporate partners

 

Remuneration to be determined based upon qualifications and experience.
